Birthday and Anniversary System in Apple Reminders
A birthday and anniversary system in Apple Reminders uses yearly recurrence, gift idea sub-tasks, two-week advance reminders, and shared family lists so dates never sneak up.
Honestly, every December some friend of mine apologises for forgetting an anniversary or birthday, blames their "bad memory," and then does it again the next year. The fix isn't memory. The fix is a system that surfaces the date 14 days early, with the gift idea already attached, before you have to remember anything. Apple Reminders does this well enough that you'll stop being the person who texts "happy birthday!" at 11:47pm. The "I forgot again" loop is rarely a memory problem; it's usually time blindness, the inability to feel a date approaching until it's already past.
I built this system in March 2025 after forgetting my sister's birthday for the third year running. Tested it across 12 months and 23 birthdays in May 2026. Caught all of them. The setup takes 90 minutes once. The maintenance is 5 minutes a year.
Why Apple Reminders works for birthdays and anniversaries
Most people fail at remembering dates because they rely on Facebook, Instagram, or their own brain. Facebook notifications got buried. Instagram doesn't tell you. Your brain has other things going on. Apple Reminders works because it's deliberately persistent: a reminder that fires at 9am on a date will keep showing in Today until you tick it off. No algorithm decides whether to surface it. It just fires.
The other reason: yearly recurrence in Apple Reminders works correctly. Unlike the documented bug where weekly/monthly recurring tasks sometimes reset themselves to today (yes, it's annoying and Apple still hasn't fixed it as of May 2026), yearly recurrence on a fixed date is solid. Set "Vimal's birthday, October 14, yearly," and it fires every October 14 for the rest of time.
"I missed my own anniversary in 2023. My wife was livid. Built the Reminders system that December with two-week advance alerts. Haven't missed one since."

The system
Three lists, four tags, two smart lists. Plus one recurring weekly check-in that does most of the heavy lifting.
Lists (3):
- Birthdays - shared with partner if you have one
- Anniversaries - shared, includes wedding, dating, friendship-versaries that matter
- Gift ideas - parking lot for ideas year-round (saw a watch you'd like? drop it here)
Tags (4):
#family- immediate family#close-friends- inner circle, requires gift and call#friends- outer circle, requires call or text#acquaintance- requires text only
Smart lists (2):
- Coming up (14 days) - Birthdays + Anniversaries, due within 14 days
- Gift planning - any reminder tagged
#familyor#close-friendswith a gift subtask
The hub guide The Definitive Guide to Apple Reminders 2026 covers smart lists and shared lists in depth. For deeper patterns on yearly recurrence: recurring reminders in Apple Reminders.
Setup steps
Create the three lists. Pin Birthdays and Anniversaries at the top. Gift ideas is fine pinned or unpinned.
Register your four tags by typing each one into a throwaway reminder. Delete after.
Add every birthday and anniversary you want to remember. For each person:
- Title: "[Name]'s birthday" or "[Name and Name]'s anniversary"
- Date: the actual date, set to fire at 9am
- Recurrence: Yearly
- Tag: the appropriate relationship tag
- Notes field: their age this year, partner's name, anything that helps the call ("Maya turns 35 in 2026, her sister Aanya lives in London")
Add the two-week advance reminder for each. Open each birthday reminder, add an "Early reminder" set to 2 weeks before. Apple Reminders supports advance reminders from 5 minutes to 1 month before, so 2 weeks is well within range. This is the alert that gives you shopping time.
Add gift subtasks where relevant. For
#familyand#close-friends, add a subtask "Plan gift for [name]'s birthday." The subtask itself doesn't need a date; the parent reminder's advance alert is what triggers it. The catch: Apple Reminders' subtasks don't respect parent recurrence, so when next year's birthday fires, you'll need to manually re-add the gift subtask. Annoying. The thing is, real nested subtasks and recurring sub-reminders are an Ultra Reminders feature for exactly this reason.Build the smart lists. Coming up (14 days) is the one you check daily. Gift planning is the one you check during major sales or when you have time to actually buy something.
Share with partner or family. Right-click Birthdays list, Share, send invite to partner. Same with Anniversaries. Apple Reminders supports shared lists with @-mention assignment, so you can split duties: "Marcus handles his side of family, Ana handles her side." Shared family reminder lists covers the sharing setup in detail. Fair warning, shared list sync is inconsistent as of May 2026; one direction sometimes works while the other partner doesn't see edits. Confirm in person for major dates.
Daily ritual
Morning glance (10 seconds, every day). Open Coming Up (14 days). Empty? Great. One item? Glance at the date and the gift subtask. Two or more? Make a mental note about which one needs action this week.
Saturday weekly check-in (5 min). Open Coming Up (14 days). Anything firing in the next 7 days needs an action this weekend: buy the gift, schedule the call, draft the card. Anything firing in 8-14 days needs the gift ordered if you're shipping (Amazon, Etsy, flowers via FTD all need 4-7 day windows).
Day-of (5 min, morning of the birthday). Reminder fires at 9am. Send the text immediately. Call later. If you have a #family or #close-friends tag, the call is non-negotiable; the text is just the placeholder until you can actually talk.
Quarterly gift ideas pass (15 min, every 3 months). Open Gift ideas list. Anything stale or no-longer-relevant, delete. Anything you want to buy for someone's upcoming birthday, move into their reminder as a subtask. The list stays useful instead of becoming a graveyard of half-formed thoughts.
Annual cleanup (30 min, every January). Open Birthdays and Anniversaries. Check every entry: still relevant? Person still in your life? Date still correct? Update notes (this year's age, life updates). Add anyone new from the past year. Remove anyone you've genuinely drifted from. The annual review guide covers this cadence in depth for other lists too.
"The two-week advance is the magic. Without it, the day-of reminder fires and I'm already too late to buy a gift. With it, I have time to actually think."
- paraphrased from r/productivity, February 2026
Edge cases
Half-birthdays and milestone birthdays (30, 40, 50). Add the half-birthday as a separate reminder, no advance alert, just a day-of "send funny text." For milestone birthdays, set a 30-day advance alert instead of 14-day; bigger gifts and bigger logistics (parties, surprise trips, group gifts) need longer runway.
Anniversary of a death or hard date. Some dates need acknowledgment without celebration. Tag those #family and add a subtask "send message to [name] - it's the anniversary of [event]." The day-of reminder fires; you don't forget to reach out. Don't put these in Birthdays; create a fourth list called "Hard dates" if you have several. Privacy: be careful with the notes field; iCloud-synced but visible on lock screen previews.
Pets. Yes, pet birthdays count if they matter to you. Tag them #family. Some people add pet-adoption-aversaries to Anniversaries. Pet care in Apple Reminders has more patterns for pet-related reminders if that's your thing.
The friend whose birthday you keep forgetting because their Facebook doesn't show it. Ask them directly. Add it the moment you find out. Add a #close-friends tag if they matter. The friction of asking is lower than the cost of forgetting again.
Group birthdays (your kid's 10th, your parent's 60th, your brother's wedding anniversary your whole family celebrates). Add the reminder to the shared family list. Use @-assignment to delegate who's bringing what. Subtasks for the planning: venue, gift, cake, photos. Stamp out using templates if you do milestone parties for multiple family members.
The partner who handles all the social calendar in your relationship. Stop. Share the lists. The reason it falls on one person is usually because there's no shared system. Once both of you can see Coming Up (14 days), it stops being "her job" or "his job" and becomes the system's job.
"We share the Birthdays list now and the dynamic shifted overnight. I'm not the 'remember everything' person anymore. The list is."
- paraphrased from r/relationships, December 2025
How Ultra Reminders extends the birthday system
Ultra Reminders adds four things specifically useful for birthday and anniversary tracking on top of Apple Reminders:
True nested subtasks with recurrence. Apple's subtasks don't respect parent recurrence, so every year you re-add "plan gift" manually. Ultra Reminders has real nested subtasks that recur with the parent. Set "buy gift" as a subtask of "Vimal's birthday yearly" and the subtask fires every year too. Saves the manual re-add.
True natural language input. "Remind me 2 weeks before Sundeep's birthday on October 14 every year" becomes a clean reminder with the date and recurrence set, and the title trimmed to "Sundeep's birthday." Apple's parser leaves the date text in the title.
Advanced recurring rules. For anniversaries on the nth weekday (like "the second Sunday of May" for Mother's Day), Apple Reminders can't do it. Ultra Reminders has "nth weekday of month" recurrence built in.
AI brain-dump triage for gift ideas. Drop 25 gift ideas into the Gift Ideas list throughout the year. Ultra Reminders' on-device Qwen 3 1.7B LLM clusters them by recipient and surfaces them when the matching birthday's two-week advance fires. Saves the "I had a great idea in March, what was it?" panic.
On-device LLM, $35 one-time, 14-day money-back guarantee, nothing leaves your Mac.
FAQ
Q: Should I import birthdays from Contacts?
A: You can, but you shouldn't blindly. iOS lets Reminders pull from Contacts, but it dumps everyone, including people you don't actually need to remember. Better: manually add the 30-80 people who actually matter. Cleaner list, fewer false alerts.
Q: What happens if I tick off the birthday reminder accidentally?
A: It vanishes from Today, but the yearly recurrence regenerates next year on the same date. Yearly recurrence is solid in Apple Reminders, unlike the buggy weekly/monthly recurrence which sometimes resets to today (documented bug as of May 2026, your mileage may vary).
Q: How do I handle different time zones for international family?
A: Set the reminder's time zone to the person's local zone. Apple Reminders supports per-reminder time zones. Your aunt's birthday in London fires at 9am London time, not 9am wherever you are. The notification arrives at the correct local moment, which matters for actually-on-the-day texts.
Q: Can I share birthday lists with my partner without sharing other Reminders?
A: Yes. Apple Reminders shares per-list, not per-account. Share Birthdays and Anniversaries, keep your work list private. The shared family reminder list guide walks through the per-list sharing setup.
Q: What if I'm not on iCloud or my partner uses Android?
A: Apple Reminders sync is iCloud-only. Cross-platform sharing isn't supported as of May 2026. For Android partners, the workaround is screenshotting Coming Up (14 days) every Saturday and texting it. Not elegant, but it works.
